How Z Staffing's Compliance Framework Drives Casual Educator Retention

Written by Z Staffing

Z Staffing has undoubtedly reshaped the childcare industry by providing an effective solution to the staffing crisis. Today, childcare centres can post flexible shifts to cover staff vacancies or sick leave, with access to a pool of qualified educators within their immediate area. We’ve removed the administrative burden associated with using traditional recruitment agencies or managing your own casual pool. Moreover, all the educators on our platform are quality assured through our rigorous onboarding process and compliance framework, so when you advertise a shift at your centre, you can trust you’re getting the best.

We are stringent about compliance because, at the end of the day, what matters most is delivering quality care and education to children across Australia. Z Values ensure consistent quality and foster a sense of community amongst educators, driving higher rates of casual staff retention. In fact, 68% of casual educators working with Z remain with us for 18 months or more.

Below, we’ve highlighted how our compliance standards enable us to both look after our educators and the centres where they work. By illustrating these, we hope to foster mutual trust within our community.

Rigorous Pre-screening Leads to Quality Assurance

To uphold the Z Mission of providing quality casual staffing solutions, every staff member has undergone extensive pre-screening, followed by a rigorous onboarding process if they make the cut. Whilst we welcome 200-250 new educators every month, it’s important to note that we decline hundreds of educators due to their lack of experience or knowledge surrounding ratios, mandatory reporting, and child protection.

We firmly believe that stricter standards ensure stronger educators and safer centres, and our prescreening process is as follows:

  • Initial in-person meeting with our Talent Team covering experience and industry knowledge. Only if the educator is deemed successful in their face-to-face interview will the Talent Advisors proceed to the next step.
  • Mandatory documents provided in the Z App are reviewed. These include a copy of their CV, WWCC, and Childcare Qualification Certification, among others.
  • Reference checking: Educators are asked to provide two referees, both being previous Line Managers from their most recent role.

This process ensures that every educator is both capable and confident in their ability to carry out their offered shifts. It increases staff retention as Centre Directors will be satisfied with the quality of care delivered by our service.

Z Induction Sets Expectations

Before their profile is listed on the Z Staffing App and they can accept shifts, educators must complete our Induction and Mandatory Reporting/Child Protection seminars. These are held over Zoom by our Compliance and Recruitment team. Failure to attend these sessions or to complete the associated quizzes with 100% accuracy will result in the educator not being onboarded to our team.

Our induction ensures that every staff member is aware of Z’s expectations and values, so that we can go above and beyond in delivering consistent-quality care. Introductory sessions cover:

  • Child Safe Standards
  • Mandatory Reporting
  • Nappy Changing and Hygiene Practices
  • Behaviour Management
  • Interactions with Children
  • Active Supervision
  • What Great Looks Like in Daily Practices
  • Workplace, Health and Safety
  • Anaphylaxis and First Aid

Our thorough onboarding process provides clarity and ensures that Z Educators will show up to every shift informed and at their best.

Professional Development Reinforces Best Practices

As industry leaders in childcare, we are committed to the ongoing development of our staff. We believe in lifelong learning, which is why our educators have access to a suite of learning tools. These cover:

  • Trauma Awareness
  • Indigenous Perspectives
  • STEM
  • Digital Technology in the Early Years
  • Nature Play
  • Supporting Behaviour and Regulation

Our monthly newsletter also informs Z Educators about the latest regulations and industry trends in childcare. This provides a constructive tool that they can use and integrate into their activities and teachings.

Commitment to Reliability Through Transparent Feedback

We take feedback very seriously and use it to empower our educators to make positive changes that improve their performance. We take a structured, fair, and transparent approach to performance reviews to uphold a strong work ethic, positive work environment, and ethical standards.

After every shift, centres are prompted to leave a review, out of 5 stars. Anything below a 3-star rating will prompt more in-depth feedback from the centre so that we can give the educator something constructive to work on. These star ratings will be visible to every centre as a part of our commitment to transparency and quality care.

We also keep metrics on reliability, which are determined by the number of shifts an educator accepts and completes, compared to the number they accept and cancel. If their reliability rating drops below 70%, the Educator will receive a call from our compliance team, who will emphasise the importance of reliability, before they are given an opportunity to improve. If they do not improve over a 2-3 week period, their position with the Z Team may be terminated.

The two clear metrics inform our investigation process and reinforce accountability. In instances where an educator is found to be in breach of our code of conduct, they’ll be placed on hold and will face immediate dismissal. We hope this reassures you of our ability to take immediate action when necessary. Transparent feedback and clear incident reporting channels facilitate positive relationships between centres and educators, through mutual understanding, and thus greater staff retention.

Why Z Staffing Takes Compliance Seriously

Compliance allows us to protect children and provide quality care to centres. We want Z Educators to support centres and their childcare goals, not hinder them. That is why we are so committed to the ongoing professional development of our staff. Upholding strict standards and establishing a clear compliance framework leads to a high level of mutual respect between educators and child care providers.

We are proud of our retention rate and attribute it to compliance: it leads to better performances and centre satisfaction. Our process empowers educators to take initiative, which is widely admired by Australian childcare providers.
