Australia's new childcare safety reforms mark the most significant changes the sector has seen in decades. Among these updates are important changes to mandatory reporting and the NQA ITS register, designed to protect children and safeguard sensitive information.
In light of these changes, we've enhanced the Z Portal Dashboard to boost compliance and support safer, more secure early learning centres. Read more about these exciting improvements we’ve made to the Z Portal below.
New reporting functionality is now live
A national rollout of the NQA ITS register commenced in February 2026, requiring service providers to keep and maintain records of all childcare workers at their centre.
We have now added the required NQA ITS data fields to your real-time reports in the Z Portal Dashboard. This means you can now access the educator information you need quickly and easily.
You can now view the following details for educators:
- First and last name
- Qualifications
- Mobile number
- Street address
- Email address
- Gender
- Date of birth
- Shift details (date, start and finish time, and break allocation)
With educator information readily available, we're helping to create safer childcare spaces, together.
How to access the report (desktop only)
We’ve made it easy to access all the required educator information you need quickly in just a few clicks. Here’s how:
- Log in to the Z Portal
- Go to the Centre Dashboard
- Enter the centre name (or multiple centres, if required)
- Scroll to Posted Shifts, Detailed Breakdown
- Download the CSV file
Please note that reports can only be generated for a maximum period of one month at a time.
Information still required to be maintained by your service
Although all the required educator data above will be provided by us, services are still responsible for maintaining and recording some additional information. This includes:
- WWCC or VIT number
- WWCC or VIT expiry date
All documents, including the educator’s WWCC and our verified version, remain easily accessible via the Z App and Z Portal.
The way the vast majority of our Clients best manage this is by creating a central register or spreadsheet of verified WWCC’s for Agency Educators. They can then merge that data with the data from our portal each month, before uploading it into the NQ ITS register.
Upcoming guidance on the bulk upload process
We’ve been advised that Approved Providers will be able to bulk upload information to NQA ITS at a service level.
The NQA ITS team has developed an Excel template for bulk uploads. This is currently being refined through user testing.
There will be two ways to complete the bulk upload process:
- Uploading a JSON file extracted from your third-party software system, or
- Downloading, completing, and uploading the NQA ITS Excel Bulk Upload Template for each service
Once submitted, all files will undergo a validation check to confirm the upload has been completed successfully. ACECQA will be providing detailed guidance in the coming weeks, including access to the final Excel bulk upload template.
